Position Purpose:

Reporting/working directly with the CAO, the Assistant provides a wide range of administrative and executive level support, and acts as the primary point of contact for the Office of the CAO.

The Administrative Assistant  

  • works in a confidential environment, with a high level of tact, integrity, and confidentiality.
  • establishes, and manages internal and external constituent relationships.
  • performs a variety of administrative tasks while supporting the CAO, driving strategic priorities.
  • undertakes special projects, conducts research, and provides guidance to administrative support staff in line with the long-term vision of the CAO.
  • is responsible for the effective and efficient administration of day-to-day operations for CAO.
  • interacts regularly with the Mayor and Members of Council.
  • fosters good relationships with businesses, community organizations, the public, and all levels of municipal staff.
  • demonstrates a broad knowledge of Municipal government with the ability to promote an effective and organized office.

Key Responsibilities:

Responsibilities include preparing correspondence, briefing notes, council and committee reports, agenda and minute preparation, and responding to and/or redirecting inquiries.

  • Manages CAO's schedule, correspondence, and confidential files.
  • Prioritizes the CAO’s workload and prepare itineraries including participation at committee meetings and public events.
  • Liaison with the clerk and departmental administrative assistants to ensure a clear, concise and consistent approach to document presentation in line with the towns’ branding guidelines.
  • Prepares reports, memorandums, presentations, letters with appropriate research.
  • Monitors County agendas and emerging government policy impacts and provide briefing notes.
  • Provides reception services for the CAO including dealing with various enquiries, solving minor or routine issues and referring public to appropriate staff and outside agencies.
  • Reviews committee agendas and minutes to maintain knowledge and information on current issues to highlight to the CAO.
  • Plans and prepare information for meetings involving the mayor and members of Council.
  • Works with town clerk and digital content specialist to draft CAO related communications.
  • Assists CAO with the development and maintenance of the Community Engagement Plan/Process that aligns with and achieves the Town’s engagement objectives.
  • Collects and reports public input to assist the CAO in engagement policy and service decisions.
  • Follows health and safety regulations.
  • Performs additional duties as assigned.

Qualifications, Knowledge, and Skills:

  • Post-secondary diploma in Public Relations and/or Public Administration, or related field.
  • Five (5) years of progressive experience in a senior administrative or executive support role related to the responsibilities listed above.
  • Pursuit/completion of the Municipal Administration Program of the Association of Municipal Managers, Clerks and Treasurers of Ontario (AMCTO) or equivalent preferred.
  • Experience in preparing executive level correspondence and reports.
  • Knowledge of municipal government structures, procedures, protocols, and practices.
  • Experience in handling sensitive material and information in a confidential and professional manner.
  • Excellent oral and written communications skills.
  • Initiative-taking with a proven history of thriving in both independent and team environments.
  • Strong organizational skills, including the ability to prioritize workloads, multi-task, and work on concurrent assignments with strict deadlines.
  • Demonstrated political acuity and sound judgment to provide strategic and tactical advice and support to senior decision makers.
  • Availability to accommodate deadlines, meeting/event attendance and/or peak period workloads that may extend beyond the normal workday as required.
  • Advanced skills in Microsoft Office Suite and Virtual Platforms.

Mental Effort

Mental attention is required due to the high variety of tasks, many involving complexity.

Position is subject to regular and sporadic deadlines, frequent interruptions, and time pressures.

Physical Effort and Skill Requirements

  • Sitting and standing for extended periods of time.
  • Ability to be flexible, organized and work collaboratively.
  • Ability to connect with people and demonstrate sound judgement.

Salary:

The position of Administrative Assistant to the CAO is based on a 35-hour workweek at an hourly rate of $35.28 - $41.27. Being group 5 of the Town’s 2026 Salary Grid.
