Recreation Administrative Assistant
Position Purpose:
Working under the guidance and supervision of the Director of Recreation, the Recreation Administrative Assistant will focus on the co-ordination and administration of facility bookings and liaising with renters and user groups of the town facilities. Co-ordinating, marketing and assisting with delivery of recreational programs for the Town of Mono in order to provide recreational opportunities and encourage and promote a healthy lifestyle for all community residents will be another important aspect of this position. These programs will include special one day events, sport programs, and general programs for children, youth, adults, seniors and families. Duties will also include administrative assistance to the Director of Recreation.
Key Responsibilities:
Recreation Administrative Assistant
- Answer all telephone and email queries on Parks, Trails and Facilities
- Assist Director of Recreation with correspondence, reports and memorandums and filing of same
- Administer CityWide Work Order Tracking System for Recreation Department
- Co-ordinate and administer the distribution of security codes and keys for all town facilities as directed
- Assist with front counter inquiries as required
- Other duties as assigned by the Director of Recreation
Co-ordination of Facility Bookings and Renters
- Respond to facility inquiries via phone, email and walk-in
- Responsible for producing correspondence, completing rental agreements, preparing invoices and deposit refunds, and tracking the collection of rental fees
- Communicate changes to hall maintenance schedule to maintenance staff
- Communicate required meeting set-ups and details of each rental to maintenance staff
- Ensure the receipt of all required documentation prior to each rental i.e. name of caterer, bartender, insurance certificate, signed copy of rules, regulations and alcohol agreement
- Co-ordinate let ins and showings of the halls with renters and maintenance staff
- Balance rental revenues and refunds with treasury department monthly
- Provide exceptional customer service to renters of town facilities
- Respond to and resolve issues and complaints under the guidance of the Director of Recreation re rental of facilities
Delivery of Town Events and Programs
- Under the supervision of the Director of Recreation, co-ordinate summer soccer program
- Communicate required set-ups to maintenance staff for facility programs
- Co-ordinate program and special event registrations and ensure payment of fees for same
- Work closely with Town’s communication staff to develop flyers and market programs and special events on town’s website and social media pages
- Record program revenues and expenses
- Respond to and resolve issues and complaints under the guidance of the Director of Recreation
- Order programming supplies
- Assist Director of Recreation with on site delivery of programs on weekends, weeknights as requested
- Provide exceptional customer service to all participants of town recreational programs
- Respond to voice, email and walk-in inquiries re town programming
Qualifications, Knowledge, and Skills:
- Experience related to duties listed above, normally acquired through the completion of a 2-year college diploma in recreation and leisure studies or event management, marketing, or related discipline and 2-3 years’ experience in facility rentals, coordination of events on municipal property, marketing, promotions and social media. Candidates with equivalent combination of education and experience may be considered. High Five Certification considered an asset
- Experience with EventPro or other recreation facility booking software
- Excellent customer service skills with the ability to resolve customer inquiries/complaints in an effective manner
- Ability to work collaboratively with community groups, agencies, and organizations
- Excellent analytical, problem-solving, and organizational skills
- Advanced computer skills in Microsoft Office (Word, Excel, Outlook), work order scheduling program (CityWide), social media
- Ability to create promotional materials and in the use of design and presentation software
- Analytical and organizational skills with the ability to manage multiple timelines and assignments to meet deadlines in a very demanding customer service focused environment
- Effective communication skills with the ability to communicate with all levels of staff, stakeholders and the public
- A team player with excellent interpersonal skills and the ability to coordinate and guide the work of other departmental staff
- Ability to ensure the highest standards of confidentiality and integrity
Job Requirements
- Valid G Driver’s Licence with a clean abstract and access to a reliable vehicle
- Ability to work weekend/weeknights as required
Salary:
The Recreation Administrative Assistant on the Town’s Salary Grid, based on a 35-hour workweek, is at Grade 5: $35.28 to $41.27 per hour (2026 Salary Grid). A benefit plan comprised of health and dental, sick and vacation entitlements and enrolment in OMERS pension plan is also included.
