Invitation to Tender

Sealed tenders shall be submitted to the Town by hand delivering the sealed tender in the envelope provided, to Town staff, at the front counter at the Mono Municipal Office until:

Friday March 2, 2018 at 11 a.m. local time

2018‑PW‑1 Lawn maintenance on various properties in the Town of Mono.
2018‑PW‑3 Supply, load, haul & spread Granular ‘M’ materials on various roads in the Town of Mono.

Tender documents may be obtained at the Town of Mono Municipal Office on or after Thursday February 8, 2018. Should you require these documents in an alternate format, please contact the Public Works Department.

SEALED BIDS, on forms supplied by the contract administrator, submitted in an opaque envelope, will be received at the Town of Mono Municipal Office until:

Friday March 2, 2018 at 2 p.m. local time

The Work includes:

  • Protection of the existing dam by installing steel sheet piles.
  • Removal of existing corrugated steel pipe arch culvert.
  • Placement of new precast concrete rigid frame structure.
  • Associated Road Works.
  • Restoration of the site upon completion of the Work.

A digital copy of the Bid Documents may be obtained on Thursday, February 8, 2018, from the Contract Administrator free of charge. A hard copy of the Bid Documents will be available by request only, and can be obtained at the office of the Contract Administrator, R.J. Burnside & Associates Limited, 15 Townline, Orangeville ON L9W 3R4, for a non-refundable fee of $80.00 (including HST), payable via cash or cheque only, to R.J. Burnside & Associates Limited.

In addition to other provisions in the Bid Documents, the lowest or any Bid will not necessarily be accepted.

The Town of Mono, a rural/urban municipality located in Dufferin County, is seeking an Administrative Assistant, reporting to the Director of Public Works. The Town of Mono is a dynamic, pro-active community on the north boundary of the GTA, having a population of approximately 9,000 residents.

Purpose of position and profile

Reporting to the Director of Public Works/Road Superintendent this position provides administrative support for the Public Works Department. You will perform multi-faceted and varied duties in a “frontline/point-of-contact” position. You will also assist in back-up coverage to other Administration staff.

This list of duties only represents the core responsibilities to be performed. This position will require some or all of these duties to be performed and will also require additional duties as required by the Public Works Department.

  • Provide “first response” customer service including telephone, front counter and electronic mail inquiries, providing responses and notification of Public Works operations, services, programs, projects and policies.
  • Processes Wide Load, Road Occupancy, Special Event and Entrance Permit Applications.
  • Provide administrative support and assistance to the Director of Public Works, Public Works Manager and Operations Foreman.
  • Prepare confidential letters, agreements, reports & forms; file correspondence and updates spreadsheets/lists as required; prepare and assists with mass mail-outs.
  • Process tender deposits and bonds, entrance/occupancy deposits, lottery license fees, tax and water payments; order supplies and items according to Town procedures and budget requirements
  • staff training and maintain records.
  • Document, research and respond to various types of Public Works enquiries and/or complaints.
  • Assist the general public at the office counter; provide information and direct queries within the Public Works Department.
  • Maintain professional relationships with the County, Municipalities and Provincial agencies as directed by Senior Management.
  • Assist other departments during lunch hours or extended absences.
  • Perform additional duties as assigned by Director of Public Works.

Purpose of position and profile

  • 2-year community college diploma in business or public administration.
  • 4 years progressive experience in a municipal administrative support role with knowledge of municipal infrastructure/public works operations and maintenance programs and services and related administrative functions.
  • Basic knowledge of accounting procedures.
  • Proficient in Microsoft Office applications, GIS mapping, Keystone Tax/Water program, Outlook, Lottery License program.
  • Proven quality customer service skill with both internal and external customers.
  • Exhibits superior interpersonal communication skills and strong conflict management skills.
  • Strong organizational skills to plan, prioritize, and coordinate flow of work to ensure deadlines are met.
  • Cooperates well with others and demonstrates an ability to function efficiently under significant time and workload pressures.
  • Displays an aptitude for figures for data inputting, spreadsheets and invoices.
  • Possesses excellent proofreading skills, including written, verbal and strong listening skills.
  • Possesses excellent keyboarding and administrative procedure skills.

Salary: $47,288 to $55,676
